Quick Guide to Writing RIF’s & LOS

Thank you for taking time to endorse a Potential New Member (PNM) for membership to Chi Omega Fraternity. Your recommendations are vital to sustain the quality standard of membership of our Fraternity.

Please note that the requirements for PNMs have changed in recent years. Currently, each PNM should request that a Chi Omega alumna in good standing write one RIF on her behalf. Any additional alumna supporting a PNM should write a LOS.

Regardless of what a PNM may hear at her university or from her peers, all recruitment documents must be submitted online, per the following instructions, no later than MAY 1. This applies to schools whether they hold fall or spring recruitment.

Online RIF Quick Guide

You might want to watch the Chi Omega Fraternity webinars to help you with the Online RIF process. You will first login to the national website by clicking here. Scroll down to your TRAINING AND RESOURCE CENTER. Locate the search box in the upper right hand corner and use search term “RIF”; several resources will be available, including the Online RIF FAQ for Alumnae and Online RIF User Manual for Alumnae.

Have these items ready before you begin:

  • The PNM’s social resume
  • A digital photo less than 350KB in jpeg format (check with the PNM’s photographer, they will understand this requirement)

Step 1: Log into everyday.chiomega.com

You must have a Chi Omega account in order to submit a RIF. If you don’t have one, select the Create an Account tab on the everyday page. You will be asked to update your profile. Please do so; it helps the Recruitment Board if there is any question about the PNM from the Chapter.

Step 2: Create a new RIF

From your profile page, on the right-hand side, under the section headed RECRUITMENT INFORMATION, find the link for Submit an Online Recruitment Information Form (RIF). Click this link.

Click on Create New RIF. There are 8 input screens to review and complete. Please fill each data field as completely as possible – contact the PNM if you need further information. It is to the PNM’s advantage to have a fully completed RIF. After you enter the information for each screen, press NEXT to go to the next screen.

You do not have to finish the entire RIF in one sitting. To pause and finish later, simply press the SAVE button at the bottom of the page. When you want to resume, log into everyday.chiomega.com again, select Submit an Online Recruitment Information Form (RIF) and the RIF should be listed at the top of the next screen.

Step 3: Enter the information on each screen that follows

Read the instructions carefully. Each screen will expand when you click on the heading. Make sure you upload a clear photograph of the PNM on the Potential New Member Information screen. The photograph should show her from head and shoulders up. The photo should be in jpeg format and sized 350 kb or less. If you experience difficulty uploading the PNM photo, please email ………….. for guidance. Enter all of the requested information in the screen and press NEXT to go to the next screen.

Be careful to enter the correct recruitment year on the College/University Attending screen. If the school holds spring recruitment, you should enter the year recruitment starts, not the year you are submitting the RIF.

In order to complete the CHI OMEGA RELATIONSHIPS screen, you should click on Search the Chi Omega Directory to find and confirm Chi Omega relationships. When searching, be certain to follow the directions on the search page. This information is particularly important for the PNM as this helps the Chapter confirm her legacy status.

Use the social resume to complete the OTHER INFORMATION screen. Prioritize activities and accomplishments by listing the most recent and/or important ones first. Clearly identify the key roles that the PNM served in each category. Include service or awards received from school, work, church, or any other source.

Step 4: Complete the RECOMMENDATION screen.

Under Additional Comments explain why this PNM fulfills the Six Purposes of Chi Omega and why she would be a great Sister. The field is limited to 300 characters. Choose your words wisely!

Step 5: Submit

When you are satisfied that you have completed the RIF, select the Submit button at the bottom of the page. You will receive an immediate email confirmation from Chi Omega that your RIF has been accepted. The RIF will be instantly routed to the Houston Recruitment Board for review. You may not make any changes to the RIF after you submit. Contact us at …………….if you have any questions or problems.

Online Letter of Support (LOS) Quick Guide

The RIF is the primary Recruitment document while the Letter of Support (LOS) lends an endorsement to the PNM. Chi Omega chapters that use Letters often recommend 2 for each PNM. Letters are sent directly to the Chapter Recruitment Advisor; they are not entered into the Chi Omega website.

The primary purpose of a LOS is to provide recruitment insight and matching tips to the Chapter. For example, you might want to point out that the PNM knows several chapter members through a camp or extra-curricular activity. You might also want to point out that the PNM might be shy and drawn out by conversations about her favorite hobby or sport.

Have these items ready before you begin:

  • The PNM’s social resume
  • A well thought-out 3-5 paragraph letter about the PNM.

The Letter of Support should be submitted via email to the Chapter’s Recruitment Advisor. It should be written in the body of an email, not sent as an attachment.

Step 2: Locate the Chapter’s Recruitment Advisor

From your profile page, on the right-hand side, under the section headed RECRUITMENT INFORMATION, find the link for Collegiate Chapter Locator. Click this link. http://everyday.chiomega.com/recruitmentadvisors.aspx

Then, click the link for the Chapter. Find the listing for the Recruitment Advisor and click that link. Her email address will be listed on this page. Copy and paste into your email. Please copy the OKC Alumnae Recruitment Board in the email at ………… You will not receive an automatic response from Chi Omega when this email is sent.

IMPORTANT NOTE: Recruitment Advisors should NOT be directly contacted by alumnae regarding recruitment progress by a PNM. Such contact could result in a recruitment violation and jeopardize the recruitment options for the PNM. Please contact The OKC Alumnae Recruitment Board at …………… if you have any questions.

Tips for emailing your LOS

  • Please include PNM’s Full Name, University and High School attended in the Subject Line of your email.
  • A LOS should be no more than 3-5 paragraphs long. It should exceed no more than 1 typed page.
  • Include your name, initiation chapter and year of initiation, contact phone number and email address at the close of the letter.
  • All letters must be submitted to the Chi Omega Chapter’s Recruitment Advisor by May 1st.
